1. Choose an adaptable structure

3. Provide dedicated spaces for vendors
We often think of the guests but rarely of the service providers. Yet, their comfort is essential for a smooth event. The caterer, for instance, needs a protected area to plate dishes or keep food warm. If their work area is exposed to rain or direct sun, it can affect the quality of their service.
Likewise, musicians, DJs, or technicians must be able to work in a secure, weatherproof environment. A pagode tent, thanks to its modular nature, is perfect for setting up technical zones. It can be open for easy movement or completely closed, depending on the conditions.

4. Create comfortable zones for guests

And don’t forget the smokers. A small, covered, well-ventilated, and discreet spot spares them from standing in the rain or being pushed into inconvenient corners.

5. Beat the heat: shade and refreshments
In case of heatwaves or high temperatures, it’s essential to do everything you can to keep both guests and staff cool. Hydration becomes a top priority. Set up several clearly visible water stations (fountains, dispensers, lemon or flavored water jugs). These stations should be easily accessible at all times and ideally placed in shaded areas.
Provide coolers with cold drinks, especially for service providers who may not have time to grab a drink between tasks. Outdoor fans or misters can also improve thermal comfort, especially in highly exposed areas.
Think about signage too: a "cool zone" sign, for instance, can draw guests in and encourage them to refresh regularly.
6. Prepare a solid plan b (and test it)
Having a plan A is great. But having a detailed plan B is even better. That means defining in advance a strategy in case of severe weather—persistent rain, strong winds, storms, etc.
Do you have an indoor fallback space? Can you repurpose the functions of your different tents? How will you adjust the lighting or sound if everything needs to move inside?
Plan B should never be improvised. It must be communicated to all service providers, tested if possible, and built into the planning schedule. Run a dry rehearsal or logistics test a few days before the event to identify any weak points.
